These Terms and Conditions apply to all travel arrangements made by Luxe Family Travel. By booking with us, you agree to be bound by the following terms.

1. Your Contract

1.1. We act solely as an agent in arranging and securing travel services on your behalf with third-party providers (such as airlines, hotels, tour operators, etc.). Your contract for the provision of these services will be directly with the relevant supplier, subject to their own terms and conditions.

1.2. A contract between you and us is formed when we issue a confirmation invoice on behalf of the supplier and receive payment from you.

1.3. You confirm that you are over 18 and authorised to accept these terms on behalf of all persons named on the booking.

2. Payment Terms

2.1. A deposit is required at the time of booking, the amount of which will be confirmed at the time of quotation. In some cases, full payment may be required immediately.

2.2. The balance of the travel cost must be paid  prior to departure by the date specified on your confirmation invoice.

2.3. If full payment is not received by the due date, we reserve the right to treat your booking as cancelled, and cancellation charges  will apply.

3. Pricing and Charges

3.1. Prices are based on current exchange rates, taxes, and supplier costs at the time of booking. We reserve the right to pass on any cost increases imposed by suppliers (e.g. fuel surcharges, tax changes, or currency fluctuations) prior to final payment.

3.2. Any applicable surcharges will be notified to you in writing.

4. Travel Documents and Entry Requirements

4.1. It is your responsibility to ensure all travellers hold valid passports, visas, and any required health documentation (including vaccinations or test results) relevant to the destination(s).

4.2. We do not accept responsibility if you are unable to travel due to failure to obtain or present correct documentation.

5. Amendments and Cancellations

5.1. Cancellations by You

Cancellations must be received in writing and will incur the following charges (unless otherwise specified by the supplier and specified in our invoice):

  • More than 60 days before departure: Loss of deposit

  • 31–60 days: 50% of total cost

  • 0–30 days: 100% of total cost

5.2. Amendments by You

  • Requests for changes must be submitted in writing.

  • Amendment fees may apply and are subject to availability and the supplier’s own policies.

5.3. Changes or Cancellations by Suppliers

We will inform you as soon as possible if a supplier needs to amend or cancel your booking. Where applicable, we will assist you in securing an alternative arrangement or obtaining a refund from the supplier. However, we cannot accept responsibility for any losses or costs incurred.

6. Insurance

6.1. You are strongly advised to obtain comprehensive travel insurance as soon as your booking is confirmed. It should cover cancellation, medical expenses, loss of baggage, personal liability, and delays.

6.2. We are not responsible for any losses suffered due to lack of insurance or an inadequate policy.

7. Liability and Responsibility

7.1. We act as an intermediary and are not liable for the performance or quality of services provided by third parties.

7.2. We accept no responsibility for injury, illness, death, loss, damage, or delay caused by events beyond our control or the control of suppliers, including but not limited to force majeure events such as war, pandemics, extreme weather, or governmental action.

7.3. Any claims for compensation must be made directly to the relevant supplier.

8. Force Majeure

We shall not be liable for any failure or delay in performance of our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, war, civil unrest, strikes, acts of terrorism, or governmental restrictions.

9. Complaints

9.1. If you experience a problem during your trip, you must inform the relevant service provider immediately to allow them an opportunity to remedy the situation.

9.2. If the issue is unresolved, please contact us as soon as possible, and no later than 28 days after your return, so that we can attempt to assist or mediate with the supplier.

10. Data Protection and Privacy

10.1. We will only use your personal data for the purpose of processing your booking and related travel arrangements. We handle your data in accordance with UK data protection laws (including the UK GDPR and Data Protection Act 2018).

10.2. You consent to us sharing your data with suppliers or authorities as necessary to fulfil the contract or comply with legal obligations.

11. Governing Law and Jurisdiction

These Terms and Conditions, and any disputes arising under them, are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction to settle any disputes or claims.

12. Acceptance of Terms

By making a booking through Luxe Family Travel, you confirm that you have read, understood, and agreed to these Terms and Conditions on behalf of yourself and all named travellers.
